If a calendar-focused tool is requesting access to send your email, that is worth a direct question before connecting.
For security-conscious professionals, the baseline should be read-only access. Any tool that requires write access to your email — the ability to send, modify, or delete — presents a risk profile that requires significantly more scrutiny.
Data residency: where does your data live?
For professionals under specific regulatory frameworks, data residency is not optional. The minimum acceptable baseline for any tool handling sensitive professional data is AES-256 encryption at rest and TLS 1.2 or higher in transit. This is not a differentiator — it is table stakes. Any tool that cannot confirm these standards specifically should not be handling sensitive professional data.
Beyond the baseline, ask about key management: who holds the encryption keys? Can the service provider decrypt your data? Does the tool support customer-managed encryption keys for enterprise tiers? The distinction between "we encrypt your data" and "only you hold the keys to your data" is significant for highly sensitive use cases.
Who has access to your data?
Encryption protects data from external attackers. It does not address the question of who within the AI tool company can access your data. Ask specifically: under what conditions can employees access my data? Is that access logged? Are employees screened? Does your support team have access to email content, or only to account metadata?
A responsible company has a clear answer: support staff can access minimal account metadata for troubleshooting, production data access is restricted to a small engineering team with a legitimate need, all access is logged and audited. If the answer is vague or the question seems unexpected, that tells you something.
Before connecting: Ask yourself whether your professional obligations — attorney-client privilege, HIPAA, fiduciary duty — would be affected if the emails in this account were accessed by a third party. If yes, that account requires a higher standard of scrutiny before connection.

Separate work and highly sensitive communications
